Field Study Terms & Cancellation Policy

General Terms

Field Studies are curated, small-group travel experiences designed specifically for hairdressers and beauty professionals. By booking a Field Study, you acknowledge that this is a group-based educational and cultural experience, not a traditional vacation package or private tour.

Participation requires flexibility, personal responsibility, and a willingness to engage respectfully with fellow travelers, educators, and local partners.

Payments & Booking

  • A booking is considered confirmed once payment (or deposit, if applicable) is received.
  • Payment plans, when offered, must be completed in full according to the agreed schedule.
  • Failure to complete a payment plan may result in removal from the trip without refund of prior payments.

Cancellation Policy (No Exceptions)

All payments for Field Studies are strictly non-refundable.

This includes, but is not limited to:

  • Deposits
  • Partial payments
  • Full payments
  • Payment plan installments

No refunds will be issued for:

  • Changes in personal circumstances
  • Illness or injury
  • Scheduling conflicts
  • Work or family obligations
  • Weather disruptions
  • Travel delays or missed flights
  • Discomfort with group dynamics
  • Early departure or late arrival

By booking, you are reserving space in a limited-capacity experience that requires advance commitments with international partners, educators, and accommodations.

Trip Changes & Adjustments

Field Studies operate internationally and may require adjustments due to:

  • Local conditions
  • Educator availability
  • Weather
  • Transportation logistics
  • Cultural or safety considerations

While every effort is made to deliver the experience as outlined, minor itinerary changes do not qualify for refunds. Any necessary adjustments will be made thoughtfully and in the best interest of the group experience.

Travel Insurance (Strongly Recommended)

We strongly recommend purchasing comprehensive travel insurance that includes:

  • Trip cancellation
  • Trip interruption
  • Medical coverage
  • Emergency evacuation
  • Lost or delayed baggage

Travel insurance is the only way to protect your investment should unforeseen circumstances arise.

Passport, Visas & Travel Documents

Travelers are solely responsible for:

  • Holding a valid passport (typically with at least 6 months validity beyond travel dates)
  • Obtaining any required visas
  • Meeting entry requirements for destination countries

Failure to meet travel requirements does not qualify for a refund.

Flights & Transportation

Unless explicitly stated:

  • Flights are not guaranteed to be included.
  • Travelers are responsible for arriving on time to designated meeting points.
  • Missed connections or delayed arrivals do not qualify for refunds or compensation.

Optional flight coordination or upgrades may be offered and are subject to availability and additional cost.

Health, Safety & Personal Responsibility

By attending a Field Study, you confirm that:

  • You are physically able to participate in walking, standing, and group activities.
  • You will disclose relevant dietary needs, allergies, or medical concerns prior to travel.
  • You understand that international travel carries inherent risks.

Field Study organizers are not responsible for personal injury, illness, loss, or damage to personal belongings.

Conduct & Participation

Field Studies are collaborative, respectful environments. We reserve the right to remove any participant whose behavior is disruptive, unsafe, or disrespectful to others or to local communities.

Removal due to conduct does not qualify for a refund.

Media & Documentation

Field Studies may be photographed or filmed for documentation and promotional purposes. Participation implies consent unless explicitly opted out in writing prior to travel.

Agreement & Acknowledgment

By booking a Field Study, you acknowledge that you have read, understood, and agreed to these Terms & Cancellation Policy in full.

This policy applies universally to all Field Studies, regardless of destination.
